Medicare Plan Disruptions During AEP | AdvantaCRM

Your Medicare CRM Should Help You Find Plan Disruptions Before They Become Problems

Every AEP, Medicare agents are asked to make sense of a massive amount of plan information in a very short period of time.

Plans terminate. Service areas change. Plans consolidate. Benefits change. A plan may keep the same identity from one year to the next, while another may move into a completely different plan through a CMS crosswalk.

But the biggest challenge usually is not understanding the CMS data itself.

It is answering one much more important question:

Which clients in my book are actually affected?

That is exactly what AdvantaCRM is being built to help answer.

Your book should not just live in your CRM. Your CRM should help you work it.

Find the Clients Who Need Your Attention

Once new CMS plan data, upcoming-year benefits, and annual crosswalk information are available, AdvantaCRM can use that information against the Medicare policies already stored in your book of business.

One of the most important disruptions is a plan that is completely terminating.

If a client stays on a terminating plan without making a change, they could enter the new year without the Medicare Advantage or Part D coverage they expected.

Those are not clients an agent wants buried somewhere inside a book containing hundreds or thousands of policies.

AdvantaCRM is designed to proactively identify them.

If an agent has 25 active clients on plans terminating for the upcoming year, we can notify that agent and tell them exactly how many clients need attention.

The email can take them directly into AdvantaCRM Reporting, where the affected clients are already filtered and ready to review.

If there are no affected clients, there is no unnecessary alert.

The goal is not to create more notifications.

The goal is to make sure the most important plan disruptions do not get missed during the busiest time of the year.

Built-In Reporting for Plan Disruptions

We are also bringing this annual CMS disruption data directly into the AdvantaCRM Reporting system.

Two Quick Reports make it easy to identify the clients most likely to need attention.

Plans Terminating

This report identifies:

  • Active clients

  • With active Medicare policies

  • Whose current plan is terminating for the upcoming plan year

Instead of maintaining another spreadsheet or manually searching through client records, the agent gets a focused list of the people who need to be reviewed.

Plans Losing Service Area

Service area reductions can also create major issues for beneficiaries.

AdvantaCRM can identify active policies associated with plans CMS has marked as having a service area reduction for the upcoming year.

We intentionally stop there.

AdvantaCRM is not trying to make every enrollment or eligibility decision on behalf of the agent.

We surface the disruption.

The agent reviews the client and determines what action is appropriate.

That gives agents useful automation without turning the CRM into something they should blindly rely on for an eligibility decision.

Understand What a Client's Plan Becomes Next Year

Not every plan change means a client needs to enroll in something different.

Sometimes a plan is consolidated into another plan. Sometimes the name changes. Sometimes the CMS contract or plan identifiers change.

AdvantaCRM can understand those annual CMS crosswalks.

That means an agent can open a client's current plan and still understand what that coverage is expected to become in the upcoming plan year.

For example:

2025
Cigna Preferred Medicare (HMO)

may crosswalk into:

2026
HealthSpring Preferred (HMO)

Instead of leaving the agent to figure out where the plan went, AdvantaCRM can show that relationship directly inside the Plan Benefits experience.

The notification is intentionally subtle.

Not every consolidated renewal is an emergency. The agent simply needs to understand what the client has today and what that coverage is becoming next year.

See This Year's Benefits and Next Year's Benefits

Once AdvantaCRM understands the crosswalk, it can also retrieve the correct benefit information for each plan year.

Even if the plan name or CMS identifiers change, the system can follow the relationship between the current plan and the upcoming plan.

That means an agent can switch between plan years and see the benefits associated with each one.

The client may technically be staying with the same coverage, but that does not mean the benefits are staying the same.

Premiums can change.

Maximum out-of-pocket amounts can change.

Dental, vision, hearing, OTC, transportation, meals, fitness and other supplemental benefits can all change from one year to the next.

The agent should not have to manually piece that together from multiple sources just to understand the basic change.

Compare Plans Side by Side

We are taking that experience another step further with a dedicated year-over-year benefit comparison.

The goal is simple:

Show me what my client has now, show me what they are moving to next year, and show me what changed.

The comparison will place the current-year plan and upcoming-year plan side by side and highlight meaningful benefit differences.

That could include changes to:

  • Monthly premium

  • Maximum out-of-pocket

  • Drug deductible

  • Dental

  • Vision

  • Hearing

  • OTC or Flex Card benefits

  • Transportation

  • Meals

  • Fitness

  • Other supplemental benefits

This becomes especially useful when a client is being moved through a consolidated renewal or other CMS crosswalk.

Instead of simply telling the agent, "This plan is changing," AdvantaCRM helps them understand how it is changing.

Know When a Full Plan Review Is Still Needed

Benefits are only one part of a Medicare plan review.

Prescription drug coverage, formularies, pharmacies, provider networks and other client-specific considerations still matter.

AdvantaCRM is not trying to replace a full Medicare quoting and enrollment platform.

For agents using our HealthSherpa Medicare integration, AdvantaCRM can help identify the disruption and understand the plan changes, then give the agent a quick path into HealthSherpa when a more complete review is needed.

The workflow becomes:

Identify → Review → Compare → Verify → Act

That keeps the CRM focused on what it should do best: helping the agent understand their book and know where their attention is needed.

Annual Plan Changes Without Unnecessary Cleanup

AdvantaCRM is also being designed to handle normal CMS crosswalk changes behind the scenes.

If a plan continues into the new year but CMS changes the plan name or identifiers, the system can update the existing policy rather than forcing the agent to manually clean up those records.

If nothing meaningful changes, nothing needs to happen.

If a crosswalk does change the plan identity, AdvantaCRM can update the policy and leave a simple history on that coverage.

For example:

2026 → 2027
H1234-001 → H5678-004

The goal is to keep the client's coverage record clean while still preserving a simple record of what changed.

Built for the Way Medicare Agents Actually Work During AEP

A generic CRM can tell you that Jane Smith is a client.

A Medicare CRM should be able to tell you that Jane Smith has an MAPD policy.

We think it should go further.

It should help you understand:

  • Whether Jane's plan is terminating

  • Whether her plan is losing service area

  • Whether her plan is being consolidated

  • What her plan becomes next year

  • What the upcoming-year benefits look like

  • What changed from one year to the next

  • And whether there are hundreds of other clients in your book facing the same disruption

The agent still makes the recommendation.

The agent still reviews the client's medications, providers and individual needs.

AdvantaCRM simply helps make sure the right clients get in front of them.

AEP Is Busy Enough

Plan disruption is inevitable.

Missing it does not have to be.

AdvantaCRM is being built to help Medicare agents identify major plan changes across their book, understand what those changes mean, and focus their time on the clients who actually need attention.

Because during AEP, your time should be spent helping clients — not digging through thousands of policies trying to figure out who might have a problem.

Your book should not just live in your CRM. Your CRM should help you work it.
